KEY DUTIES & RESPONSIBILITIES

Base Location Shire of Dundas Administration Office

  • Administration Services
    • Process the receipt of monies, reconcile daily funds, prepare for banking and transcribe receipts to the computer;
    • First responder to telephone, email and counter enquiries and refer matters other than routine to the appropriate person;
    • Handle routine rating enquiries;
    • Carry out Department of Transport licensing functions;
    • Ensure library and front counter areas are kept neat and tidy;
    • Maintain key, dog & cat licence, cemetery and hall bookings registers;
    • Assist in maintaining the records management function, including registering of incoming emails, filing of documents and ensuring order in the filing room;
    • Maintain inward and outward mail registers;
    • Registration of Shire related newspaper articles;
    • Maintain mining application register;
    • Maintain the accuracy of Gym memberships including sending out reminders;
    • Opening and closing of the front office, public toilets and raising and lowering flags;
    • Collation and distribution of Council Information Bulletin (IB)
    • Provide relief support for other Administration staff when necessary;
    • Assist the Senior Finance & Administration Officer and Deputy CEO and other sections regarding financial information and statistical data for management purposes;
    • All other duties within the scope of the position and classification level and as required by the Senior Finance & Administration Officer, Deputy CEO or CEO;
    • Ensure that risk management assessments are undertaken, and risks minimised through detailed assessment for each job/project and appropriate OH&S standards are always followed and maintained across the projects or tasks .
    • That all documentation to be kept in accordance with WHS Requirements.
  • Library Services
    • Administer and be responsible for maintaining the everyday and overall running of the Council’s public library service;
    • Project and promote the desired image of the library both efficiently and courteously;
    • Complete annual statistics and financial reports for the Library Services;
    • Maintain the overdue library books by sending out reminders;
